Head Office Administrator
Mid-Toronto (in-office)
Salary between $55k – $65k plus benefits
Our client, a real estate home-builder, is looking for an Administrator to join their team. This individual will be an integral part of the company, liaising between the Accounting and other departments, compiling reports, assisting with payroll and other ad-hoc duties. They are looking for someone who is detail oriented, efficient and who can take initiative.
Responsibilities:
- Co-ordinate and schedule meetings for senior executive team members as requested.
- Review, track and approve head office invoices related to above.
- Assist with circulating agreements, contracts and other documents for signature via Docusign as directed by VPs.
- Act as point person between Accounting and all other departments for expense reports. Ensure accuracy of reports and back-up received from employees and submit to VPs for approval.
- Act as point person between Accounting and all other departments for credit cards. Assist with preparing credit card allocations as directed, ensure all back up received from staff and timely and accurate delivery to Accounting for processing.
- Liaise between Accounting and other departments to ensure monthly invoices on Jonas are reviewed/approved on a timely basis.
- Draft new employee contracts as directed by VPs and get executed once approved to be circulated.
- Onboard new employees by sending out welcome package, benefits booklet and new employee forms, keep track and obtain signed forms and required employee information.
- Offboard employees. Assist with sending out/tracking any additional documentation such as termination letters.
- Download Ceridian payroll reports for all head office payrolls on bi-weekly basis. Send journal entry information to accounting, update payroll tracking for WSIB calculations. Assist with submitting weekly construction payroll as directed.
- Assist with planning, budgeting for social activities, dinners and retreats as required.
- Other special projects as assigned.

- 2+ years relevant experience
- Superior organization skills and attention to detail
- Demonstrated ability to multitask in a high paced environment
- Excellent communicator
- Efficient in Outlook and Microsoft Office 365
